BACKGROUND
As a local recruitment, this position will be based in Colombo. Only Sri Lankan residents are eligible to apply.

To support effective project delivery in terms of efficient and effective management of financial resources, procurement activities, donor reporting, bookkeeping and audit support, IUCN seeks a suitable candidate for the position of Finance & Administration Assistant. H/She will be locally recruited and be part of the IUCN corporate team.
JOB DESCRIPTION
KEY RESPONSIBILITIES
The Finance & Administration Assistant will ensure that proper systems are established and maintained to facilitate project management, procurement, donor reporting and fund management in an efficient, effective and accountable manner. Ensure that transactions recorded are in accordance with accepted accounting principles and IUCN policies and procedures and provide the basis for efficient financial management and information system.
SPECIFIC DUTIES
Financial management and accounting
1. Review expense claims ensuring completeness of supporting documents and posting them to the ERP system and follow up with staff to clear pending settlements.
2. Process staff-related payments such as travel advances, medical reimbursements etc.
3. Ensure that all financial transactions are made in accordance with IUCN regulations and procedures and donor guidelines.
4. Assist in arranging vendor payments ensuring completeness of supporting documents
5. Prepare donor financial reports
6. Assist in month-end accounts closing activities
7. Record the expenses of implementing partners in the ERP system
8. Provide necessary financial information for project management, audits and evaluations
Administration
9. Assist in procuring goods and services in collaboration with the Administration Officer and Project Managers according to the applicable guidelines
10\. Handle logistical arrangements for workshops and other meetings.
11\. Prepare monthly OT reports and process for payments through Administration Officer
12\. Update assets register in consultation with Administration Officer
13\. Maintain the records pertaining to fleet of vehicles and ensure timely renewal of license, insurance, and repairs and services are done on time.
14\. Carry out any other responsibilities entrusted by the supervisor
Please Note: The above TOR contains the main responsibilities and duties of this position. However, in an ever-evolving organization such as IUCN staff members are expected to show flexibility in their approach to work and be willing to undertake other tasks that are reasonably allocated to them, but which are not part of their regular TOR. Where any task becomes a regular part of staff member’s responsibilities, the TOR should be changed in consultation between the manager, the staff member and the HR Unit. Anyone of the three may initiate the consultation.
SALARY:
The minimum gross annual salary for this position is LKR 1,692,900.00 While this is an indicative amount effective as of the current date, changes may occur as per IUCN's compensation practices without prior notice. The same applies to other organisations hosted by IUCN.

REQUIREMENTS

  • Competencies:
  • Attention to detail is required
  • High level of personal integrity
  • A University Degree in a relevant discipline is required. Qualification from a recognized accounting body (at least Intermediate Level) will be considered with an additional 2 years of experience, in lieu of a Degree.

Experience:

  • Have overall experience of 2-4 years and two years of which should be at a similar position in a reputed firm - experience of an INGO is preferred.
  • Have a high level of computer skills and hands-on experience in the use of accounting software/ERP system
  • Excellent language skills in English and Sinhala (writing, speaking and reading) and a working knowledge of Tamil would be an advantage
