Executive Assistant (m/f/d)
As our Executive Assistant to the CEO, you'll be the right hand to our Co-Founder and Chief Executive Officer Yianni. Going beyond day-to-day support, your diverse tasks will range from helping to prepare various strategic projects to high-level administrative support. You will be the first contact in our Aachen office, supporting our exceptional team culture. In this role, you will balance the conventional with the extraordinary, fostering a positive working environment while actively contributing to our company's future.
Your Tasks
- Administrative Support: Manage the CEO's and team calendars, schedule appointments and coordinate travel arrangements
- Communication: Facilitate effective and professional communication on behalf of the CEO with business partners in English and in German
- Project Coordination: Assist with various projects by maintaining timelines, preparing reports and presentations and coordinating with business partners, clients and our team
- Meeting and Event Coordination: Organize (digital) meetings, conferences and cultural events
- Document & Data Management: Prepare and organize internal documents within our different software solutions
- Office Management: As first contact for both our employees and guests you will know their needs before they do. Identify and address office process inefficiencies with innovative solutions that align with our strategic goals overseeing our office mail and phone, order office supplies and coordinate our other office locations
- Cultural & Feel Good Management: Assisting our HR Manager, you will play a key role in Cultural Management by fostering an office environment that encourages collaboration and camaraderie, making it more than just a workspace
Your Profile
- Completed Bachelor’s degree or equivalent in business administration, management, real estate or a related field
- Strong written and verbal communication skills in German and in English, with a professional demeanor and ability to work with a wide range of stakeholders
- First working experience in Real Estate and/or as an Executive Assistant is beneficial
- Exceptional organizational skills, attention to detail, and time management
- Ability to prioritize and handle multiple tasks simultaneously
- Proficiency in Microsoft Office and Google Suite
- Ability to work as a team and collaborate across multiple functions
- Creative problem-solver with “can-do” attitude and a talent for getting things done
- Highly enthusiastic about the POHA concept
